Let AI read your statements
Copy this prompt into Claude or ChatGPT, then upload your bank, card and marketplace statements. It asks about anything unclear and builds the same P&L.
Before you upload, black out full account numbers. The AI only needs dates, descriptions and amounts.
Get the Claude skill
Add Pocket Accountant to Claude once. Any time you upload statements and ask for a P&L, it runs the whole process and hands you a CSV and Excel file.
- Download the skill file. It's free.
- In Claude, open Settings and upload it under Skills.
- Start a chat, upload your statements and say "Make my P&L for last month."
If your Claude plan doesn't offer skills, the prompt above does the same job.
How this is calculated
- Total Income = every income line added up, minus refunds and returns.
- Gross Profit = Total Income minus Total Cost of Goods Sold.
- Operating Income = Gross Profit minus Total Operating Expenses. Operating expenses are listed A to Z.
- Net Income equals Operating Income here, because interest is counted as an operating expense. Your accountant may move interest and one-time items below Operating Income.
- This is a cash-basis statement: enter money in and out during the period. Leave out transfers between your own accounts, credit card payments, owner draws, loan principal and sales tax.
- Lines with no amount are left off the statement. Percentages are each line as a share of Total Income.
- This is a bookkeeping draft, not tax advice. Have a CPA review it before you file or share it with a lender.
- Your numbers stay in your browser. Nothing is saved or sent.
Questions about your P&L
What is a P&L statement?
A Profit and Loss statement (also called an income statement) shows what came in, what went out and what was left for a period like a month or a year. Lenders, landlords and your accountant will all ask for one.
Where do I find these numbers?
Your business bank and credit card statements cover most of it. For Amazon, Shopify or Etsy, use the payout or settlement report so you can see sales before fees. The fees then go under Marketplace & Seller Fees.
What should I leave out?
Transfers between your own accounts, credit card payments (the charges themselves are the expenses), money you take out or put in as the owner, loan principal, and sales tax. None of these are income or expenses.
Is it safe to upload my statements to AI?
Use your own Claude or ChatGPT account, and black out full account numbers before uploading. The AI only needs dates, descriptions and amounts. Nothing you upload there comes to us.
Can I use this for taxes?
It's a solid bookkeeping draft and a great thing to hand your accountant, but it isn't tax advice. Have a CPA review it before you file or share it with a lender.
Are my numbers saved anywhere?
No. The form runs in your browser. Nothing is stored or sent to us. Download the CSV if you want to keep a copy.
